Attorney in Monmouth County Acquires New Copier

Just a short note today.  I was able to help out a Monmouth County Attorney stream line their workflow with scanned documents.  They had been using an older Fugitsu scanner, their workflow was to place the documents in the feeder, and then activate the Fujitsu scan program from a dedicated PC that was placed next to scanner.  Once the documents were scanned they would then move the digital file to a folder on their network.  Once the file was at the dedicated folder on the server the user would then go back to their desk and then email that file to the desired recipients.  The Fujitsu scanner was old, slow and was misfeeding the documents from time to time.

With our new Ricoh MPC3503 we were able to set up a scan workflow from the panel of the copier. Meaning, we had programmed pre-set recipients for that document.  Thus once scanned that document was delivered to a folder location on the server, and then delivered to four other recipients via email  With a scanning speed of almost 80 pages a minute we were able to cut 10 minutes of time in the scan process from the old way.  Seeing that they did this on average of 7 times a day we were able to save over one hour per day, 5 hours per week and 20 hours per month! 

The time saved per month far outweighed the new monthly cost of the lease,  plus they were able to increase their billing output with the time saved!!! End result another happy Attorney in Monmouth County.
